Where Zapier wins

Zapier wins on reach and simplicity. With roughly 7,000 integrations it almost always supports the app you need, and the plain-English builder lets a non-technical user connect two tools in minutes. For a business stitching together cloud SaaS, especially smaller or newer apps, Zapier is the fastest path and rarely missing a connector.

  • Connecting many third-party SaaS apps
  • Non-technical owners who want the simplest tool
  • Needing a niche app only Zapier supports
  • Fast setup without IT involvement

Where Power Automate wins

Power Automate wins for Microsoft-centric organizations. Native depth across Microsoft 365, Teams, SharePoint, and Dynamics is unmatched, much of the cost may already sit in the company's licensing, and it adds desktop RPA plus enterprise governance that Zapier does not offer. For regulated or Microsoft-heavy businesses, it is the stronger institutional fit.

  • Businesses standardized on Microsoft 365
  • Desktop RPA for legacy applications
  • Enterprise governance and compliance
  • Teams already licensed for Microsoft

Pricing

Zapier

Free tier with 100 tasks a month. Paid plans start around $20 a month and scale quickly with task count.

Power Automate

Some cloud flows are included with Microsoft 365 plans. Premium connectors and standalone use start around $15 per user a month, with desktop RPA costing extra.

Pricing directional, as of early 2026. Always confirm current plans on each vendor's site.

What we actually use, and when

For a business connecting cloud apps that wants the simplest setup and the biggest catalog, Zapier every time. For a Microsoft 365 shop, or anyone needing desktop RPA and enterprise governance, Power Automate, which is often already bundled in their license. We default to Zapier for non-technical SaaS automation and reach for Power Automate when the client is Microsoft-first or has compliance demands.

Lean Zapier

Pick Zapier for the simplest setup and the largest catalog of third-party apps.

Lean Power Automate

Pick Power Automate if you run on Microsoft 365 or need desktop RPA and governance.

Zapier vs Power Automate: FAQ

Is Zapier or Power Automate better for a small business?
For most small businesses on mixed cloud apps, Zapier is easier and faster to set up. Power Automate becomes the better choice when the business runs on Microsoft 365 and wants automation inside that ecosystem, or needs desktop RPA.
Does Power Automate have more integrations than Zapier?
No. Zapier has roughly 7,000 app integrations versus Power Automate's smaller native set plus premium connectors. Power Automate's advantage is depth within the Microsoft world, not breadth across third-party apps.
Is Power Automate cheaper because it comes with Microsoft 365?
Sometimes. Basic cloud flows are included with many Microsoft 365 plans, so simple internal automations can be effectively free. Anything premium or higher volume needs a paid plan, so the savings depend on what you automate.
Can Zapier automate desktop applications?
No. Zapier connects cloud apps through APIs. Desktop robotic process automation is a Power Automate capability. To automate a legacy desktop program, Power Automate is the tool.
Which should I choose if I use both Google and Microsoft?
If your automations mostly touch third-party and Google apps, Zapier. If they center on Microsoft 365, Power Automate. Mixed environments sometimes run both, each handling its own side.
