The problem
A marketing services firm collects business cards at events. They needed a fast way to capture each contact, draft a personalised follow up, and get it sent with only light review, rather than typing cards into a CRM after the event and writing every email from scratch.
What we built
We built a Make.com pipeline that starts with an iPhone shortcut: photograph the card, and the image lands in Google Drive. OpenAI Vision extracts the contact details, an AI writes a priority aware follow up email, and the contact is created in a Notion CRM with the draft attached. Moving the record to In progress is the approval step. That sends the email via Gmail and stamps the record Done.
Results
- iPhone shortcut is the whole capture step, the photo goes straight to Google Drive
- OpenAI Vision reads the card, so no contact details are typed in by hand
- Every contact lands in a Notion CRM with its follow up draft already written
- Nothing sends until the record is moved to In progress, which keeps a human on the approval
