Housecall Pro Missing Features: 6 Gaps and How to Fill Them

What Housecall Pro still does not do in 2026, from estimate reminders to Outlook sync, what users complain about, and the add-on we built so an HVAC contractor kept HCP.

By Jacky Lei

Housecall Pro is missing a handful of features that busy service businesses run into fast: there is no text reminder for an estimate appointment (reminders are for jobs only), no native Outlook calendar sync, estimate follow ups sit behind the paid Pipeline add-on, the QuickBooks sync is one way and does not carry later edits, and the API is only on the MAX plan. None of these are a reason to switch software. Each one can be filled with a small add-on that reads from Housecall Pro and does the missing job, which is exactly what we built for Jolly Heating & Cooling, an HVAC contractor that kept Housecall Pro and stopped filling the gaps by hand.

This guide lists the gaps, quotes what real users say about them, separates what Housecall Pro genuinely lacks from what it already does, and shows how each gap gets filled.

What Housecall Pro does not do natively in 2026

We checked every claim below against Housecall Pro's own help center in October 2026, because the fastest way to waste money is to build something your software already does.

GapNative statusWhat fills it
Day before text reminder for an estimate appointmentNot native. Housecall Pro says SMS reminders are "currently only sent for jobs" (help center)A poller that texts every scheduled estimate the day before
Outlook or Microsoft 365 calendarNot native. The only calendar app is Google Calendar, and it "only works one way" (help center)Mirror estimates, jobs and events into Outlook, keyed by ID
Reminders for walkthroughs and commissioning visitsOnly if the visit is booked as a job. Nothing filters reminders by job typeA rule that spots walkthrough jobs and sends their own reminder with the address
Follow up on sent but unapproved estimatesNative, but only with the paid Pipeline add-on (help center)Pipeline, or a follow up sequence from your own texting number
One screen showing every automated text, with cancel, reschedule and send nowNot in Housecall Pro's documented settings. Controls are per message typeAn owner dashboard over the message queue
QuickBooks Online sync that carries editsOne way, and line item edits after the first sync "do not automatically update the invoice" (help center)A reconciliation job that re-pushes changed invoices

Two things Housecall Pro does have, so nobody sells you them twice. Review requests are native on every plan and go out by email and text when a job is finished or paid (help center). And the public API exists, but "API is available only to Pros on a MAX plan" (help center), which matters because every add-on in this guide needs it.

What Housecall Pro users actually complain about

These are real reviews and community posts from the last year, grouped by theme. Read them as a checklist: if two or three sound like your office, the gaps are costing you time.

Automation is shallow. "It's extremely limited in what it can automate, does not offer many helpful integrations," wrote one owner on Trustpilot in January 2026. Another, in September: "virtually everything they sold me on in terms of features do not actually work or you must create a workaround" (Trustpilot). A Capterra reviewer pointed at a specific design choice: automated emails "should absolutely be tied to job tags, but because they're tied to customer tags, we have to add and remove them vigilantly" (Capterra).

Estimates never reach the calendar. On the Zapier community in January 2026, a user wrote that the Housecall Pro connection "pulls the new jobs just fine, but doesn't pull the new estimates to put on my calendar." Zapier's own community manager replied that there is "an existing feature request for a 'New Estimate Created' trigger" (Zapier Community). So the no code route to Outlook drops exactly the appointments the sales side cares about most.

QuickBooks turns into cleanup work. "Add the QuickBooks integration into the mix, and accounting becomes a disaster" (Trustpilot, May 2026). A bookkeeper put it more plainly: "I find your integration with QuickBooks Online to be bad" (Trustpilot). Another owner said it "messed up multiple invoice payments and invoices causing a mess in my QB" (Trustpilot). And someone trying to fix it through Zapier found the connection "doesn't expose the 'job_type' field or the name of the service used on the job" (Zapier Community).

Add-ons stack up. "$189 monthly plus all the ad-ons another $89 for payroll $50 for pipeline" (Trustpilot, September 2026). "The software is also nickel-and-dimed with extra charges for every small add-on" (Trustpilot).

Reminders misfire. One customer reported the system "continues to send reminders to the client every 4 hours" (Trustpilot, July 2026). When you cannot see the queue of what is about to go out, you find out about a bad reminder from an annoyed customer.

Reporting falls short. "Can't we generate proper customer statements showing invoices, payments, open balances," asked an owner in May (Trustpilot).

How we filled four gaps for an HVAC contractor

Jolly Heating & Cooling runs on Housecall Pro and liked it. Their office was patching four gaps by hand every morning: texting tomorrow's estimate customers, asking for reviews after installs, reminding walkthrough customers, and retyping the schedule into Outlook where the owner and crew actually plan the week. We did not switch their software. We built what it was missing.

  1. Estimate reminders. Every scheduled estimate gets a text the day before, from Jolly's own number, so replies land in the inbox the office already watches. Rescheduled or cancelled estimates drop out of the queue, so nobody gets reminded about an appointment that moved. This piece cost $260 to build.
  2. Review requests with timing control. Two hours after an install is marked complete, the customer gets a review request. Repeat customers who were already asked are skipped automatically. Housecall Pro's native review request fires on finished or paid with no delay setting, so the add-on exists for the timing and the repeat check, not because reviews are missing.
  3. Walkthrough and commissioning reminders. The same day before reminder, with the job address pulled from Housecall Pro, for visit types the native reminders do not single out.
  4. Outlook sync. Every estimate, job and event is mirrored into Outlook, keyed by its Housecall Pro ID so a reschedule updates the existing event instead of creating a duplicate. Estimates included, which is the part the Zapier route misses.

On top sits an owner dashboard that lists every text the system has queued or sent, with one click cancel, reschedule and send now. Six automations check Housecall Pro every 15 minutes, and Housecall Pro is never written to, so the add-on cannot corrupt the system of record.

The full technical walkthrough, with the polling code, the GoHighLevel texting setup and the timezone trap that sends reminders on the wrong day, is in our build guide: Housecall Pro SMS reminders with GoHighLevel and Outlook sync.

How to decide: add-on, native add-on, or switch

Not every gap is worth building around. Here is the honest version.

SituationBest move
You only need estimate follow ups after sending a quoteTry Housecall Pro's Pipeline add-on first. It is built for exactly that
You need estimate appointment reminders, Outlook sync, or reminders by visit typeA custom add-on. Housecall Pro has no setting for these today
Your office cannot see what automated texts are about to go outA dashboard over the message queue. This is where misfires get caught
QuickBooks is a mess because of edits after syncA reconciliation job, or a bookkeeper process, depending on volume
You are on Basic or Essentials and need any of the abovePrice the MAX upgrade in. The API every add-on needs is MAX only
Most of your day is spent fighting the software, not three or four gapsThen switching might be the right call. Add-ons fix gaps, not a bad fit

Where it gets complicated

The API plan. Every add-on reads from the Housecall Pro API, and the API is MAX only. If you are on a lower plan, the plan difference is part of the real cost, and it should be in the quote before anything gets built.

Reminders that outlive the appointment. The hard part of a reminder system is not sending texts, it is not sending the wrong ones. Estimates get moved, cancelled and rebooked constantly. The add-on has to re-check the schedule on every run and cancel anything that no longer matches.

Dates and time zones. Housecall Pro returns schedule times as strings, and a careless parse sends a "tomorrow" reminder on the wrong day. This was the one real bug in the Jolly build, and it was caught and fixed live.

Review rules. Google's review policy bans offering anything in exchange for a review and bans asking only the customers you think are happy (Google policy). An automated review request should go to every completed job, with no reward attached, or it puts your Google profile at risk.

Frequently asked questions

Does Housecall Pro send reminders for estimates?

Not as of October 2026. Housecall Pro's help center says its SMS reminders are only sent for jobs. Estimates get notifications when they are scheduled, sent, finished or cancelled, and an on my way text, but no day before reminder. You can book estimates as jobs to get the reminder, or add a small poller that texts every scheduled estimate the day before.

Does Housecall Pro sync with Outlook?

Not natively. The built in calendar integration is Google Calendar only, and it is one way. The common workaround is Zapier, which is MAX only and has no new estimate trigger, so estimates never reach Outlook. A custom sync that mirrors estimates, jobs and events into Outlook by ID covers all three.

Does Housecall Pro have automatic estimate follow ups?

Yes, through the Pipeline add-on, which is priced separately from the Basic, Essentials and MAX plans. It can resend a sent estimate after a set number of days, up to three times by email or text, and then mark it declined.

Does Housecall Pro have an API?

Yes, on the MAX plan only. Housecall Pro does not build or support custom integrations made with your API key, so anything you build on it is yours to maintain or to have maintained.

Can I fix these gaps without switching software?

Usually, yes. Each gap above is a small add-on that reads from Housecall Pro and does one missing job. Switching makes sense when the problems are with how the whole product fits your business, not with three or four missing features.

How much does a Housecall Pro add-on cost?

It depends on the gap. The estimate reminder piece of the Jolly build cost $260. A full set with reviews, walkthroughs, Outlook sync and an owner dashboard is a larger fixed fee build. Running costs are low because the polling runs on Google Apps Script, and the texts go through the texting tool you already pay for.

If your office is filling Housecall Pro's gaps by hand, tell us which ones. We build these as a layer on top of the software you already pay for, never a replacement. See our field service and CRM automation work, read the Housecall Pro build guide, or book a 20 minute call and we will tell you in the first five minutes whether your gaps map to this pattern.
